Data Processing Agreement (DPA)

This Data Processing Agreement (DPA) is an integral part of the Terms of Service between you, the user (also referred to as the 'Data Controller'), and GPT Translator (the 'Data Processor'). It outlines in plain language how we handle, process, store, and protect your data when you use our services.

Definitions

This agreement uses terms like 'Personal Data', 'Data Controller', and 'Data Processor' in the same way as defined by privacy laws like the General Data Protection Regulation (GDPR) and California Consumer Privacy Act (CCPA).

Scope of Data Processing

When you upload a file to GPT Translator, we process it solely to provide translation services. This means we may temporarily store the file, extract text content from it, send the text to AI language providers for translation, and then generate a new translated version of the file. The original and translated files may be stored briefly to help with quality assurance, troubleshooting, and customer support. We do not use your files or their contents for training AI models or for any purpose beyond providing the service you requested.

Subprocessors

To deliver fast and high-quality translations, we work with a few trusted technology partners (subprocessors), each of whom helps us provide specific parts of the service. These include: - **Amazon Web Services (AWS):** Secure file storage and hosting infrastructure. - **Google Cloud (Vertex AI, Speech-to-Text):** Text extraction and speech recognition. - **OpenAI (ChatGPT):** Language understanding and translation models. - **Deepgram:** Real-time audio transcription and speech processing. - **Grok (xAI):** Contextual text generation and advanced language tasks. - **Gemini (Google AI):** Multimodal and multilingual language processing. Each of these partners is contractually required to protect your data and follow strict security and privacy guidelines. None of them are allowed to access or use your data for any purpose other than delivering the translation service you've requested.

Security Measures

We take data security seriously. All file transfers are encrypted using HTTPS (TLS). Files stored on our servers or with subprocessors are protected with strong access controls and encryption at rest. Access to your data is limited only to necessary systems and support personnel, and we regularly audit our systems to keep them secure.

Your Data Rights

You have full control over your data. At any time, you can request to: - View the data we hold related to your usage - Correct inaccurate or outdated information - Request deletion of uploaded or translated files - Withdraw consent for data processing Simply contact us through our support page, and we’ll respond as quickly as possible in line with legal requirements.

How Long We Keep Your Data

We store uploaded and translated files temporarily—usually just long enough to complete the translation and provide customer support if needed. If you want your data deleted sooner, you can delete files from your account or request manual deletion. We do not retain your data for marketing or model training purposes.

Data Breach Response

In the unlikely event of a security breach that affects your personal data, we’ll notify you as soon as possible. Our team follows a documented incident response plan to assess, contain, and resolve the situation while keeping you informed at every step.

Ending the Service & Data Cleanup

If you close your account or stop using GPT Translator, your personal data and files will be deleted from our systems unless we are legally required to retain them. You may also contact us at any time to request immediate data deletion.

Changes to This Agreement

We may occasionally update this DPA to reflect changes in our service, subprocessors, or legal requirements. When we make material changes, we’ll notify users via email or in-app messages. The latest version will always be available on our website.
